Fulfill Pending Orders – Setting Your Triggers (WHEN Rules)

Triggers are essential for determining when an automation flow should begin. In the “Fulfill Pending Orders” workflow, Zopi automatically reviews each new or pending order to assess if it can be fulfilled using the available suppliers and fulfillment options.

 

When a new order is synced to Zopi or a fulfillment request is initiated from Shopify, the system checks the following conditions:

  • Availability of Order Items: Ensures all items in the order are available through Zopi’s connected suppliers.
  • Fulfillment Settings: Confirms that your current settings support automation (such as enabling auto-pay).

Based on these verifications, the workflow proceeds as follows:

 

If all order items are eligible for automatic fulfillment, Zopi transitions the order into the automated fulfillment process, which includes:

  • Automatically submitting payment (if Auto Pay is enabled)
  • Generating and printing shipping labels
  • Syncing tracking numbers back to your store

This seamless process allows orders to be handled and tracked without manual intervention.

 

If any item cannot be automatically fulfilled, the workflow diverts into one of these paths:

  • Manual Fulfillment: You will need to manually review and fulfill the order.
  • Alternative Sourcing: The system searches for another available supplier.
  • Notifications: Zopi alerts you to take necessary actions, such as updating supplier information.

This ensures that no order remains pending or stuck due to incomplete fulfillment conditions.

 

Customize your trigger logic to align with your business strategy. For instance, you can automate fulfillment only for:

  • High-profit orders
  • Orders from trusted suppliers
  • Orders below a specific value threshold
